The Centre for Humanitarian Dialogue (HD) is a private diplomacy organisation founded on the principles of humanity, neutrality, impartiality and independence. Its mission is to help prevent, mitigate and resolve armed conflict through dialogue and mediation. HD operates in more than 40 countries with more than 300 collaborators.HD is currently looking for an:Administrative Associate at 50%Based in GenevaStarting date: As soon as possibleBased in Geneva and reporting to the Logistics Officer, the Administrative Associate will support the Humanitarian Mediation Global Programmes (HMGP) team in their daily activities. The team is composed of three staff members in Geneva, with a network of 17 consultants and work on mediation for health access in Africa, Middle East and Asia.The Administrative Associate will have the following responsibilities:• Assist in all travel arrangements for staff and consultants as well as visitors, including flights, visas, accommodation and insurances;• Provide support in organising conferences, seminars and events in Geneva or outside of Geneva;• control expense allocations on project accounts and financial reports;• Ensure the travel claims of employees and consultants meet HD policies and include the required documentation and signatures;• Ensure expenses are allocated to projects as per donor requirements;• Prepare advances and liquidations for consultants and submit them to Finance department;• Prepare consultant invoices and activity reports and submit them to Finance department;• Help preparing project audits.The successful candidate should meet the following criteria:• 3 years of relevant experience;• Great attention to details and sense of responsibility;• Strong interpersonal skills with a team spirit;• Service and solution-oriented;• Good knowledge of English (oral and written) with a strong level of French;• Computer literate (MS Office), proficiency in Excel.If you are interested in this position and meet the criteria defined above, please send a complete file (CV, motivation letter, diplomas and work certificates) to the following address hrgeneva@hdcentre.org by 8 August 2021. Executive Assistant

The Executive Assistant will support the Executive Director and will be responsible for the functioning of HD's executive office. This includes providing support to HD's Senior Management Team (SMT), its Foundation Board and the Board Committees.Reporting to the Executive Director, the Executive Assistant will have the following responsibilities:Executive Support:Take meeting minutes;Prepare speeches, official statements and other written materials for the Executive director in coordination with the relevant HD teams;Support the preparation of high-level official visits;Prepare and organise staff meetings/town halls, videoconferences, catering, travel itineraries, announcements etc.;Prepare PowerPoint presentations, expenses claim, timesheets and handle all administrative tasks related to the executive office;Ensure timely updates of institutional information;Oversee the institutional archiving process;Assist in performing any other ad-hoc task as requested. Board of Director:Attend the open and closed sessions of the board meetings, record, archive and distribute board-approved minutes;;Communicate with board members;Organise the meetings of the Foundation Board and its Committees (planning, compiling and distributing information and documents, minutes) and manage all matters related to these meetings. Senior Management Team (SMT):Organise and coordinate the Senior Management Team meetings (planning, compiling and distributing information and documents, taking minutes, maintaining the archive of minutes). The successful candidate should meet the following criteria:Bachelor degree in business management, international relations, or equivalent;At least 7 years working experience in a similar position, being an executive assistant in direct collaboration with the board committee and the executive director at HQ level of an international organisation;Excellent Interpersonal skills;Excellent organisational skills, autonomous, and able prioritise tasks and meet deadlines;Excellent written communication and drafting skills;Analytical and creative problem solver, with strong attention to details;Confidentiality and discretion are required, as well as diplomacy in dealing with sensitive matters and high-level individuals;Good command of Microsoft office and digital communications technologies;Excellent command of English (speaking and writing – C2 level), French is an asset.If you are interested in this position and meet the criteria defined above, please send a complete file (CV, motivation letter, diplomas and work certificates) to the following address hrgeneva@hdcentre.org by July 25th 2021. Sa mission est d'aider à prévenir, atténuer et résoudre les conflits armés par le biais du dialogue et de la médiation.HD recherche actuellement un(e):Assistant(e) logistique et administration Afrique francophone Basé(e) à GenèveDisponibilité : 1 Septembre 2021Durée du contrat : 8 moisType : Poste à 80%Sous la responsabilité du Chef de mission, l'assistant(e) logistique et administration travaillera en étroite collaboration avec les responsables finances et RH & Administration Afrique francophone et appuiera une équipe multiculturelle au niveau logistique, administratif et financier.
