Project Description 

The Digital Communications team works closely with the other teams in the Communications group to ensure that the tone and visual representation of UNDP branded products are consistent. Reporting to the Website Specialist, the Intern will support the team conceptualizing and creating web and social media visual assets for campaigns, events and other promotional purposes (French).

 

Duties and Responsibilities

The interested candidate will:

  • Research content and produce French language material and updates for French social media platforms (Facebook, X);
  • Ensure global campaigns follow up and support, and audience engagement on French social media platforms;
  • Produce graphic material to be used on French social media platforms;
  • Provide assistance in curating and presenting stories, images and videos in UNDP's web content management system;
  • Review and edit web stories, headlines and captions in French and English, liaising with the rest of the team to ensure consistency across languages;
  • Assist in reviewing French translations, proofreading and reformulating, if necessary, for optimal web presentation;
  • Assist the French Web Editor in maintaining contacts with content providers in order to solicit material for website, and/or for approval of drafts;
  • Support the monthly reporting of digital channels performance (French) by gathering and analyzing main metrics.

Required Skills and Experience

Education: Applicants must meet one of the following requirements: 

(a) Be enrolled in a graduate school Programme (second university degree or equivalent, or higher);
(b) Be enrolled in the final academic year of a first university degree Programme (minimum bachelor's level or equivalent);
(c) Have graduated with a university degree (as defined in (a) and (b) above) and, if selected, must start the internship within one-year of graduation.

Experience:

Web and social media experience are an asset.

Language:

Native French and fluency in written and spoken English; Spanish desirable.

Availability: Must be available at least four days a week.

The annual number of outbreaks has increased more than threefold since 1980. UNICEF is involved every year in over 100 responses related to public health events. PURPOSE OF THE JOB The Policy Specialist reports to the Global Lead (Senior Advisor), Migration and Displacement (post# 11326), outposted to Geneva. Anchored in Program Group, Child Protection, the Migration and Displacement Hub provides technical leadership and strategic support to ensure that UNICEF's policy engagement, programmes and strategic partnerships include and promote the rights and needs of children and adolescents on the move, including coordinating UNICEF's strategic partnerships and institutional advocacy priorities on migration, refugee issues and internal displacement. The Policy Specialist provides policy and technical assistance to develop organisational capacity for policy and intersectoral coherence, provides strategic direction and effective coordination on program-driven and evidence-based advocacy across sectors and regions. The Programme Specialist supports the Global Lead to represent UNICEF externally on migration and displacement issues and strengthens and harnesses effective strategic partnerships within the UN system and relevant interagency fora, and with public and private sector partners. A primary function of the Policy Specialist is to support UNICEF's strategic engagement and policy development on issues related to child-sensitive GCM and GCR implementation, including UNICEF's work with the UN Network on Migration, alternatives to immigration detention and return and reintegration workstreams and the UN Multi-Partner Trust Fund, while supporting capacity building of UNICEF HQ, Regional and Country office colleagues on these thematic areas. On behalf of the Hub, the Policy Specialist also manages and/or supports UNICEF's collaborative partnerships with other UN agencies through the IOM-UNICEF Collaboration Framework and the UNHCR-UNICEF Strategic Collaboration Framework, while coordinating UNICEF's engagement in global governance frameworks on migration and displacement and implementation of related pledges (such as from the Global Refugee Forum). The Hub manages the cross-sectoral PROSPECTS Partnership, designed to deliver nexxus programming to forcibly displaced childen and youth and their host communities. Policy change is a core component of this large programme, spanning 8 countries, 2 regions and over 10 sectoral teams within UNICEF Headquarters. Through PROSPECTS and more broadly, the Policy Specialist will play a critical role in guiding global policy advocacy, coordinating global, regional and country level policy-related engagement, and building capacity for Country, Regional and Headquarters offices to effectively influence policies and practices that help uphold the rights of children on the move.   KEY FUNCTIONS, ACCOUNTABILITES AND RELATED DUTIES/TASKS Technical support on program-diven policy advocacy and structured policy dialogues on migration and displacement - Supports the Global Lead and the broader team in analyzing emerging issues, migration and displacement trends and implications for children, and proposes and promotes appropriate responses related to these issues and policy approaches for children on the move. - Advises the Global Lead on migration and displacement to position UNICEF on migration and displacement issues to promote a coherent, rights-based approach to migration and refugee issues across sectors. - Develops policy tools, program guidance and provides technical support on migration and asylum systems across UNICEF's thematic areas and sectors to ensure coherence, integrated programme advocacy, resource mobilization and effective communication for sustainable and scalable results for children in contexts of forced displacement and affected by migration - Coordinates and leads the development of policy tools and standards to support UNICEF's contribution to the PROSPECTS partnership and implementation of the Global Compact on Refugees and Global Compact for Safe, Orderly and Regular Migration, the SG Action Agenda on Internal Displacement; and positions child displacement and mobility within climate policy, action and financing (including the Global Goal on Adaptation and Warsaw International Mechanism on Loss and Damage). - Provides regular analytical briefs and analyses on key trends and developments on migration and displacement and advises the Global Lead on action and/or change of practice and policy. Ensuring risk analysis and risk mitigation is firmly embedded, including as part of efforts to prevent displacement. - Positions children and young people in efforts to drive advocacy for migration and displacement related issues leveraging major global and regional forums and processes, coordinating the development of advocacy, positions and building strategic alliances to influence policy development to facilitate achievement of programme goals at all levels. - Organizes side events and other Geneva-based meetings as needed to maintain political momentum for UNICEF's migration and displacement advocacy priorities and GCM and GCR implementation. - Supports priority countries in the implementation of GCM/GCR-related programmes, inter alia on ending child immigration detention, providing child-sensitive reintegration assistance, increasing access to services (education, MHPSS, social protection) and other priority themes. - Supports UNICEF country and regional offices plan and execute program driven policy change on issues related to migration and displacement. - Strengthens institutional knowledge, understanding, policy and practices in the area of migration and displacement to inform programme goals and strategies. The following minimum requirements: Education: An advanced university degree (equivalent to a Master's) from an accredited institution is required in Migration/Refugee/Internal Displacement studies or closely related social/development sciences (political science, international development, law, public policy or related fields).? Work Experience: - At least 8 years of relevant work experience at the international level in the provision of technical advice and policy change is required. - In-depth knowledge of migration and displacement policy and legal frameworks and a proven track record of professional experience working on migration and displacement policy issues, including as they relate to children is required.   Purpose The Lutheran World Federation (LWF) is a Communion of 149 Churches in 99 countries. The role of the Communion Office (CO) is to serve these churches in different ways. The CO has three departments, the Department for Planning and Coordination (DPC), the Department for Theology, Mission and Justice (DTMJ) and the Department for World Service as well the Office of the General Secretary The Department for Planning and Coordination (DPC) is responsible for the overall coordination of the planning, monitoring and reporting of the LWF Head Office of the Lutheran World Federation.  In pursuance of its responsibility for coordination, DPC oversees and supports the work of the Communion Office in the area of Finance, among others. The Office for Finance (OF) establishes budgets, ensures budget monitoring, financial reporting, produces audit statements and administers treasury and investments.  Due to the forthcoming retirement of the incumbent, we are looking at hiring a Finance Officer able to organize the accounting activities of the OF and ensuring maintenance of the accounting ledger system, the Sage system, prepares the monthly reports, audit reports and provides training to staff on the effective use of financial systems and procedures. Based on seniority, the Finance Officer is the natural deputy to act for the Head of Finance during his/her absence.   Main duties   1. Financial control and analysis - Financial analysis and control of income and expenditure items in line with the working budgets. - Technical input on the preparation of reports to donors and for internal reporting to management. - Provide input in the preparation of budgets and budget monitoring of projects, programs and cost centres. - Organize OF accounting activities through effective maintenance of the accounting ledger system, the Sage system, preparing the monthly and annual financial statements. - Carry out quality checks on financial statements in order to ensure compliance with the LWF finance manual and audit instructions. - Supports Head of Finance to collate and analyze cost center budgets, paying particular attention to the accuracy, completeness and funding gaps. - Follow-up and consolidate estimates from budget during times of budgeting leading to the production of the annual Planning and Budgets overview. - Regular monitoring of accounting standards that are relevant to LWF including assessment of potential impacts in the consolidated financial statements. - Responsible for discussion and implementation of technical changes in the accounting standards in order to comply with IFRS or any other financial reporting standards that are applicable to LWF.  2. General ledger accounting - Maintains an overview of technical accounting tasks and oversees general accounting entries. - Verifies payment vouchers and their coding and ensures that all payments are supported by the right documentation. - Responsible for financial control and accountancy for the programs in the office of the General Secretary and for DPC. - Coordinates the income accounting with departments and follows up to ensure income is posted to the accounting system. - Prepares payroll journals and input the data into the accounting ledger. - Reconciles balance sheet items on a monthly basis with particular attention on the payables, membership fees, suspense accounts, staff accounts, bank reconciliations and other balances. - Ensures that monthly charges are posted to the GL, for instance, office rent, IT charges, Sage costs, payroll related accruals and central service allocations. - Prepares monthly posting vouchers for the investment portfolios. - Prepares monthly and quarterly financial reports from the accounting system and distributes to budget holders. - Undertakes internal review on all transactions booked, validates the GL reports from Sage and compares them with approved budgets. - Develops financial reports in Sage system as needed for departments, auditors or budget holders. - Supports TMJ department with preparation if financial statements for audits. 3. Audits and year-end closing procedures - Responsible for year-end closing with particular reference coordinating closing calendar and reconciliation of project balances in line with LWF's accounting principles. - Prepares audit statements for LWF Geneva departments, as well as audit notes. Prepares the consolidated LWF financial statements for audit purposes. - Works closely with auditors to finalize audit reports and to provide information and explanation required during audits. Works alongside the internal finance working group to ensure proper audit planning and year-end closing of accounts in line with audit deadlines. 4. Oversight on Sage accounting software - Prepares the chart of accounts for programs, projects, as well as cost centers for the Geneva budgets. Controls and corrects data entries in Sage. - Ensures efficient functioning of the Sage based accounting ledger with the help from IT office and Sage systems vendor. - Prepares Sage financial reports, provides input on improvement of systems, tools, templates and procedures that are required for effective financial controls. - Grants security access to Sage according to responsibilities. - Takes an active role in processes related to accounting system upgrades, especially in view of the Geneva needs 5. Specific tasks for LWF Foundations (Strasbourg Institute and Endowment Fund) - Accounting and budgets monitoring for the foundations. - Validates payment vouchers in the absence of any other finance staff in Strasbourg. - Reviews financial reports and produces financial statement and audit statements for the Foundations (Strasbourg Foundation and Endowment Fund/LWB Stiftung).  6. Induction/training - Assists in updating the Finance related guidelines, procedure manuals and forms.  - Organizes staff induction sessions on finance guidelines and use of Sage.  7. LWF Assembly (every six or seven years): - Prepares accounting codes, structure and budgets fort the Assembly. - Maintains the accounting ledger and reconciles all accounts, including the Assembly related fees. - Trains the local assembly finance offices, together with the host Church on basic bookkeeping required for purposes of the Assembly. - Prepares final Assembly financial statements and all related documents for a final audit. Position Environment and Dimensions Internally, as a member of the Finance Team, reporting to Head of Finance, mainly interacts with Finance team and staff in Geneva. Externally, interacts and relates with LWF auditors in Geneva, Sage systems providers, donors, bankers, service providers, suppliers and other outside parties as needed.   Special duties  As may be assigned by the Head of Finance including providing back up during the absence of Head of Finance and other finance colleagues.    Major Challenges  The role has been enriched to fit the needs of Office for Finance. Context & Mission For 50 years, MSF has been providing medical assistance to populations facing life-threatening crises: mainly armed conflicts, but also epidemics, pandemics, natural disasters and exclusion from healthcare. All these situations require appropriate medical and logistical resources. The L&D Unit Intern provides organizational, administrative and communication support to the unit. The Intern will learn and support the team in the organisation and the deployment of learning activities. In addition to the recurrent tasks, the Intern will lead specific dossiers or projects notably related to communication during the period of employment. The Intern function can be part of an academic course ('cursus intra-ou extra academique') or a federal program on professional integration.
